Kitwe Marathon 2025 – Terms and Conditions of Participation
By registering for and participating in Kitwe Marathon 2025, you agree to comply with the following terms and conditions. Please read carefully before proceeding with your registration.
1. Media Consent and Publicity Release
By participating in Kitwe Marathon 2025, you acknowledge and agree that event organizers, sponsors, and official media partners may capture your image, likeness, voice, or performance through photography, video recording, or other media formats during the event.
You grant full permission to use, reproduce, edit, and publish these materials for promotional, advertising, marketing, and media purposes. This includes but is not limited to use on websites, social media platforms, television, radio, event recaps, printed materials, and future event promotions.
You understand that:
- No compensation or royalties will be provided for the use of these images or recordings.
- The rights granted are irrevocable, perpetual, worldwide, and may be sublicensed by the event organizers.
- The materials may be used in composite or modified forms without your specific approval.
If you do not wish to be photographed or recorded, it is your responsibility to inform the event organizers in writing prior to the event day. However, due to the nature of public events, full exclusion from media coverage cannot be guaranteed.
2. Registration and Payment
- Your registration is only confirmed upon full payment of the applicable fee.
- Early Bird discounts apply only to payments completed within the specified promotion period.
- Incomplete or unpaid registrations may be removed from the system without notice.
3. Participant Eligibility
- Participants must meet the minimum age requirements for their selected race category:
- 42km – 18 years and above
- 21km – 16 years and above
- 10km – 12 years and above
- 5km Fun Run/Walk – Open to all ages (under 12s must be accompanied by an adult)
- All participants must be physically fit and medically cleared to engage in endurance activities.
4. Refund and Transfer Policy
- All registration fees are non-refundable, regardless of injury, personal circumstances, or weather conditions.
- Entries are non-transferable unless approved in writing by the event organizers.
5. Race Rules and Conduct
- Official race bibs must be worn visibly at all times.
- Participants must follow the designated route and instructions from marshals and event staff.
- Unsportsmanlike behavior, cheating, or endangering others will result in immediate disqualification.
6. Safety and Liability
- Participants take part at their own risk.
- The event organizers, sponsors, and partners will not be held responsible for any injury, loss, or damage to property sustained before, during, or after the event.
- Medical and safety support will be available, but all participants are advised to seek personal medical clearance before the event.
7. Event Changes and Cancellation
- The organizers reserve the right to change event details (e.g. date, time, route) or cancel the event in the interest of safety or due to unforeseen circumstances.
- In the event of cancellation, alternative solutions (such as deferral or virtual participation) may be offered, but refunds are not guaranteed.
8. Personal Data and Privacy
- Your personal information will be used solely to administer the Kitwe Marathon 2025 and will not be shared with third parties without your consent, except for promotional use as outlined in the Media Consent section.
By completing your registration, you acknowledge that you have read, understood, and agreed to all the above terms and conditions.
